ASEEES2023 Convention Schedule Notification and Info

We at ASEEES are pleased to announce that the preliminary schedules for the 2023 ASEEES Annual Convention, Virtual (October 19-20, EDT) and In-Person (November 30 – December 3, EST), are now available. 

Go to the online program to see the searchable schedule. You can find your panel/roundtable/meeting schedule(s) by clicking on “View the Online Program” and entering your name or your panel/roundtable/meeting title in the search box. You can also view the complete in-person convention schedule grid under “In-Person Program Calendar” in the left navigation bar.

CHANGE REQUESTS 

Please DO NOT ask us to move your session. The Program Chair and the Program Committee have spent numerous hours trying to avoid thematic conflicts. We could not and cannot accommodate personal scheduling requests. The virtual convention schedule has been created with a focus on time zone considerations for all participants. This may cause unavoidable thematic overlap. For the in-person convention, room assignments are subject to change; final meeting room assignments will be published in the print program in the fall. 

To request a change to your session, complete this Session Change Request Form. The deadline to submit session change requests is September 25.   

REGISTRATION 

WITHOUT EXCEPTION, ALL participants on panels/roundtables/lightning rounds—session chairs, discussants, paper presenters and roundtable members—must pre-register and pay the registration fee. This information can be found on the Registration Page. The early registration deadline is August 11.  Registration rates will increase after that date. This is in addition to membership dues. 

Ukrainian Registration Waivers: Due to the ongoing war in Ukraine we recognize the challenge some of our scholars face in purchasing membership or convention registration. This year, Ukrainian scholars and graduate students residing in Ukraine or displaced outside of Ukraine because of Russia's war on Ukraine, may complete this request form to request membership and/or a convention registration waiver. 

Session organizers: If you are the session organizer as well as a participant in the session, you must be entered into the system for both roles and must register. Organizers not participating in the convention are not listed in the program and do not need to register. To request an edit to your session participation, please submit the change in the Session Change Request form. 

MEMBERSHIP RULES & EXCEPTIONS 

All participants who are Slavic, East European, and Eurasian Studies specialists in the US or abroad must be current ASEEES members to participate in the convention. If you are not currently a member or have not renewed your membership for 2023, you must do so immediately.  

Scholars and professionals outside the field of Slavic, East European, and Eurasian Studies may request an exemption from the membership requirement by completing this form. Please note that to be outside of the field means that a presenter’s professional work does not focus on the SEEES region, the presenter has not participated in other SEEES related conferences and will serve as a guest to give an external scholarly perspective outside of the SEEES sphere, as noted on our registration page. 

Please note that membership payment is different from convention registration. 

HOTEL 

We encourage you to book your hotel room at The Philadelphia Marriott Downtown as soon as possible. A link and telephone number for room reservations is on the Hotel page of our website.  

The block cutoff date for special rooming rates is November 7, 2023. Room cancellations can be made up to 72 hours (about 3 days) prior to check-in.

INVITATION & VISA LETTERS 

To request an official invitation letter or letter to pursue a visa, complete this Letter Request Form no later than September 15. We require up to ten business days to complete and return a letter to you.

A-V EQUIPMENT 

For the in-person convention, ASEEES will provide an LCD package (screen/projector/cable) or TV monitor/cable set-up in each meeting room for panels and roundtables. No other audio-visual equipment is provided. You are required to bring your own laptop and a dongle to connect to HDMI (especially if you have a Mac), to give your presentation.  

For more information, see the A/V Equipment Policy. There will be a practice room set up in the hotel. We recommend you test your laptop for compatibility with the projector in the practice room before your presentation. 

Important: ASEEES does not have the necessary staffing to support hybrid sessions. Hybrid sessions (“beaming in” a participant) will not be accommodated in Philadelphia. 

VIRTUAL SESSIONS 

Sessions at the virtual convention will be provided with an embedded Zoom link 10 minutes before the session starts. You will not need to, nor be permitted to, provide your own Zoom link for a virtual session, nor can you share the link to your session. Virtual sessions can only be accessed by registered participants.  See the ASEEES policy for recording and social media.

MEETINGS AND RECEPTIONS 

We are still accepting and scheduling ancillary events. Click HERE to submit a reception or meeting room request. The deadline for submissions is August 17.
